Manually updating sharing settings on large numbers of documents is slow, error-prone, and impossible to audit or roll back. Delegated automation promises consistency, but Drive permissions are more complex than they appear.

How it works

  1. Identify all target files by searching or listing in Drive using the service account with domain-wide delegation.
  2. For each file, fetch its existing permissions and calculate the required changes.
  3. Apply add or remove operations for users, groups, or link-sharing as needed.
  4. Log each change for audit and possible rollback.

Large-scale permission updates complete in hours, not weeks, and every change is tracked for auditing.

The trap in this one. Drive API’s batch permission changes are eventually consistent. If you read back permissions immediately after updating, you may see stale data or miss propagation failures. In high-volume jobs, this causes scripts to mistakenly reapply changes, leading to duplicate permissions or exceeding per-file permission limits, which then blocks further updates without clear error messages.

Questions people ask

How do I verify that changes have stuck?

Wait several seconds between update and verification, and plan for retries. Even then, some propagation delays can last minutes.

Can I use batch requests to speed this up?

Yes, but batching increases the risk of hitting per-user or per-file quotas. Monitor Drive API error responses closely, as quota errors can be opaque.
