The problem

Contracts, certifications, and policy documents often have expiry dates buried in metadata or filenames. Users forget, and stale files linger — risking non-compliance or business disruption. Manual tracking is error-prone and doesn't scale beyond a handful of users.

How it works

  1. Use a delegated service account with domain-wide Drive access to enumerate all files in shared drives and user folders.
  2. Extract expiry information from custom properties, filenames, or document contents.
  3. Identify files approaching expiry within a defined window.
  4. Send direct alerts to document owners or nominated groups with details and recommended actions.

What changes

Expiry risks are surfaced with enough lead time for corrective action, and compliance tracking no longer depends on individual diligence.

The trap in this one. Drive API file listings are eventually consistent — recently moved or renamed files may not appear or may show stale metadata for minutes to hours. If you trigger alerts on a tight schedule, you will send false positives or miss urgent expiries. Always re-query for critical files and track API sync lags, especially after bulk operations.

How do you extract expiry dates reliably?

Custom properties are best, but if not present, you may need to parse structured filenames or read the document body. Each method has edge cases, so fallback logic is essential.

Can this process scale to thousands of users?

With a service account and Drive API, yes, but respect rate limits and paginate queries. Throttle scans to avoid 429 errors.
