The problem

Project folders pile up in shared Drives, making it harder for users to find active work and increasing risk of accidental edits to historical material. Manual archival is inconsistent and often skipped, which undermines retention policies and search relevance.

How it works

  1. The delegated service account scans shared Drive folders for completed projects, based on metadata or naming conventions.
  2. It validates folder ownership, last modification date, and any custom tags indicating project status.
  3. Folders meeting archival criteria are moved to a dedicated 'Archive' folder or Drive, with permissions optionally tightened.
  4. An audit log records each archival operation, including original path and timestamp.

What changes

Shared Drives stay focused on current work, and archived folders are protected and easier to manage for compliance or later review.

The trap in this one. Moving a folder in Drive via the API is not atomic: subfolders and files may still be accessible in their old locations for several seconds to minutes due to propagation delays. If users or automations act on these items during the transition, you can end up with orphaned files or inconsistent permissions. Always verify the final state and re-scan after the move to catch stragglers.

Does this delete any data?

No. The folders are moved, not deleted. You can enforce stricter permissions in the archive location, but nothing is destroyed during the archival process.

Can it handle multiple shared Drives?

Yes, as long as the service account has access, it can scan and move folders across any shared Drives in the domain.
