Monitor shared drive quota usage in real time with delegation
Track shared drive storage consumption live using a delegated service account, surfacing quota pressure before it blocks users.
| Who it is for | IT admins responsible for maintaining uninterrupted Drive access across departments. |
|---|---|
| APIs | Drive API, Admin SDK |
| Typical scopes | drive.readonly, admin.directory.customer.readonly |
The problem
Shared drives run out of quota without warning, blocking uploads and causing user panic. Manual checks are slow and miss sudden spikes, while Workspace’s built-in alerts lag behind real utilisation.
How it works
- List all shared drives with the Drive API using a delegated service account.
- For each drive, aggregate file sizes by traversing the file tree.
- Compare totals to the drive or organisational quota limits from the Admin SDK.
- Push alerts or dashboards when usage crosses a defined threshold.
What changes
Admins see live quota consumption per shared drive, can intervene before uploads fail, and have a record of historic trends.
Questions people ask
Can I get quota usage directly from a field on the shared drive?
No. The Drive API does not return a live storageUsed field for shared drives; you must sum file sizes yourself, which can be slow for large drives.
How often should I poll for usage?
Polling every few minutes is typical, but beware API quota limits and the lag between actual and reported usage after major changes.
Want this built?
This is a pattern we run in production. We will set up the delegation and build this on top of it — $500 per hour, most of it working the same day.
