Rotate Drive access for changing project roles
Automate the removal and assignment of Drive permissions as users join or leave project roles, keeping access aligned to current responsibilities.

The problem
Manual permission updates on shared Drives and folders lag behind reality, leaving ex-members with access and new members blocked. Over time, this creates real data exposure and support noise.
How it works
- Maintain a source of truth for project roles (e.g., a spreadsheet or directory group).
- Fetch the current Drive permissions for the project folder using the Drive API.
- Compare assigned permissions to the source of truth to identify who needs to be added or removed.
- Automate permission changes: remove ex-members and add new members using the Drive API.
- Log every change and alert on failures.
What changes
Drive access matches current project membership, and onboarding or offboarding is reflected within minutes, not weeks.

Questions people ask
How do I handle nested folders in shared drives?
Inherited permissions make nested structures tricky. Always check and update permissions at the shared drive or root folder level, not per subfolder, unless you have a strong reason.
Can I batch permission changes?
You can, but the Drive API may throttle large batches. Stagger changes and watch for 403/quota errors to avoid partial updates.
