The problem

Manual Drive exports are inconsistent and do not scale across users or tenants. Relying on users to self-backup is unreliable, especially when content must be preserved for compliance or rapid recovery.

How it works

  1. Maintain a manifest of users and folders to back up for each tenant.
  2. Impersonate each user in turn and page through their Drive contents using the Drive API.
  3. Export files to an external storage system, recording file metadata for deduplication.
  4. Schedule the backup to run at defined intervals and retain only required versions.
  5. Log each run with per-file and per-user results.

What changes

Backups run on schedule without user intervention, and a central archive is available for restores or audits.

The trap in this one. Drive API's file list is eventually consistent: recently deleted or moved files can still appear in listings for minutes, causing backup jobs to pick up stale metadata or duplicate files. This leads to confusion during restore and can silently bloat storage costs unless you track file IDs and timestamps precisely between runs.

Questions people ask

Can this pick up shared drives as well as My Drive?

Yes, but you must explicitly list shared drives per user and handle their permissions separately. Treat each shared drive as a distinct root.

How do you avoid backing up the same file twice?

Track file IDs and last modified times. Only export files that have changed since the last backup, and beware that file moves don't update the modified time.
