Keep team roster sheets synced with Directory
Automatically update shared Sheets with live user details from Directory, so teams always see the current staff list.

|---|---|
| APIs | Admin SDK, Sheets API |
| Typical scopes | admin.directory.user, spreadsheets |
The problem
Manual roster updates go stale within days as staff join, leave, or change roles. Even small teams miss updates, leading to confusion about who is active or reachable.
How it works
- Fetch the latest user list from Directory using a delegated service account.
- Map directory fields (e.g., name, email, title, status) to the columns in the target Sheet.
- Clear and repopulate the Sheet, or upsert rows based on primary key (typically email).
- Log changes and flag discrepancies, such as users present in the Sheet but not in Directory.
What changes
The team roster Sheet always reflects the current Directory state, so everyone sees an accurate, single source of truth.

Questions people ask
Can I sync multiple teams to different Sheets?
Yes, by filtering Directory users by orgUnitPath or group membership, you can write each subset to its own Sheet.
How do I handle custom fields?
Custom schema fields can be fetched via the Directory API and mapped to additional columns, but you must handle missing or inconsistent data per user.
Want this built?
This is a pattern we run in production. We will set up the delegation and build this on top of it — $500 per hour, most of it working the same day.
