Send a weekly usage report for every shared drive
Summarise storage use, member changes and file counts for each shared drive, delivered on a predictable weekly schedule.
| Who it is for | IT, finance and operations teams tracking storage or access drift. |

| Typical scopes | drive.readonly, admin.directory.group.readonly |
The problem
Shared drives quietly accumulate files, and group membership changes go unnoticed. Over time, costs rise and access expands without any single owner realising.
How it works
- Enumerate all shared drives using the Drive API.
- For each drive, collect storage usage, file counts, and group/user membership.
- Detect and log membership changes since last run by comparing to prior snapshots.
- Generate and deliver a report to stakeholders each week.
What changes
A clear, regular view of usage trends and access changes, supporting storage management and access reviews.
Questions people ask
Can I get real-time storage usage for shared drives?
No—the Drive API only returns periodically refreshed storage data. There's no supported way to force an immediate update.
How do I track group membership changes reliably?
You must snapshot membership lists each run and diff them. Relying on 'lastModified' timestamps isn't sufficient, since group changes may not update the drive's metadata.
Want this built?
This is a pattern we run in production. We will set up the delegation and build this on top of it — $500 per hour, most of it working the same day.

Rotate Drive access for external collaborators via automation
Regularly expire and re-grant Drive file access for external users without manual intervention or missed revocations.
Enforce Drive storage quotas on a schedule
Identify and act on users who exceed Drive storage limits by scanning usage periodically and triggering clean-up or escalation.
Migrate Drive data between teams with delegated access
Move shared Drive content for a whole team between organisational units or domains, preserving permissions and structure with a delegated service account.
