The problem

Routing and triage are simpler when departmental labels are applied automatically, but users do not reliably filter or label their mail themselves. Central automation can provide consistency, but must respect user mailbox boundaries and changes in department assignments.

How it works

  1. Synchronise current department membership from the Directory API.
  2. For each user, use domain-wide delegation to impersonate their account.
  3. Search for new, unlabelled emails matching department criteria.
  4. Apply the relevant department label via the Gmail API, creating the label if missing.
  5. Log actions and handle exceptions for accounts with unusual settings or legacy mail.

What changes

Every new email is labelled according to the user's department, with updates reflecting org changes as soon as Directory sync runs.

The trap in this one. Label creation is not globally idempotent: if labels are created in parallel, Gmail can silently create duplicates differing only by label ID. This breaks downstream reporting and filtering, as identical-looking labels are not the same entity. Always cache label IDs per-user and serialise label creation at runtime to avoid this race.

Questions people ask

Can this process retroactively label old emails?

Yes, but be aware that retroactive labelling large mailboxes can hit Gmail API quotas and may surface edge cases with legacy threads or migrated accounts.

What if a user removes or renames the label?

The next automation run will recreate or reapply the label as defined by the central logic, but any user customisation may be reverted.
