The problem

Inconsistent or outdated signatures undermine compliance and branding, and manual updates are unmanageable at scale. Users often revert changes or introduce errors.

How it works

  1. Fetch the current user list from the Admin SDK.
  2. For each user, use domain-wide delegation to impersonate them.
  3. Update the signature using the Gmail API's settings endpoint.
  4. Log completion and any errors for audit and retry.

All users have a compliant, uniform signature, with changes tracked and repeatable across the domain.

The trap in this one. The Gmail API's signature update endpoint is eventually consistent: rapid bulk updates can appear to succeed but silently drop changes for some users, especially if requests are throttled or retried too quickly. Always verify each signature after update, and stagger requests to avoid hitting per-user rate limits.

Can users still change their signature after a bulk update?

Yes, unless you enforce restrictions via Gmail settings. Users can manually override, so periodic reapplication or enforced templates may be necessary.

How quickly do changes propagate?

In most cases, changes are visible within minutes, but under load or with retries, some accounts can take longer. Always check the actual signature before assuming success.
