The problem

Manually assigning rooms or resources to meetings leads to double-bookings, missed reservations, and wasted time. Automating resource allocation ensures consistent policy application and frees up staff from repetitive tasks.

How it works

  1. Monitor for new or updated events on relevant calendars.
  2. Query available resources using the Calendar API's free/busy endpoint.
  3. Assign an available resource to the event by updating its attendees list.
  4. Confirm the assignment by checking the event's updated status and resource acceptance.

What changes

Resources are allocated without staff involvement, and usage is consistent and trackable across all bookings.

The trap in this one. The Calendar API's resource assignment is not atomic: if two processes assign the same resource to overlapping events in quick succession, both updates can succeed locally and only later does one get declined by the resource calendar. This silent, post-factum rejection is easy to miss unless you explicitly check the resource's response status after every update.

How do I ensure no double-bookings occur?

Always check the resource's response status after assignment. The resource will decline if there is a conflict, but this can lag several seconds after your update.

Can I pre-reserve resources before finalising the event?

No. Resource calendars only confirm participation when added as attendees, and there is no 'hold' mechanism. Handle declines by retrying with alternates.
