The problem

Manual room booking is error-prone, and double-bookings or forgotten cancellations waste meeting space. Delegated automation can enforce policies and handle exceptions, but only if it manages rooms as first-class resources.

How it works

  1. Use the Admin SDK to enumerate all calendar resources representing rooms.
  2. Have the delegated service account impersonate each room resource when creating or modifying events.
  3. Poll for booking requests, cancellations, and conflicts, then update the relevant room calendar accordingly.
  4. Notify users automatically if their booking is declined or rescheduled.

What changes

Room calendars reflect reality, with conflicts resolved and users notified without manual intervention. Facilities staff have an accurate view of room usage.

The trap in this one. The Calendar API does not immediately reflect recent changes to resource calendars due to propagation lag. If you query availability or update bookings in rapid succession, stale data can cause your automation to double-book a room or incorrectly decline a legitimate request. This is silent: your logs may show a successful insert, but a later query returns the old state. In production, always introduce a delay or re-fetch after writes, or you will see overlapping meetings appear unexpectedly.

Can I use batch requests to speed up room management?

Batching can help, but it does not eliminate propagation delays. Always verify the final state after batch operations, especially when resolving conflicts.

How do I impersonate a room resource?

Rooms are special users in Google Workspace. Impersonate the resource email (e.g., room123@domain.com) as the subject with your service account.
