The problem

When users hit their Gmail storage quota, mail delivery fails and support tickets spike. Manual checks are impractical at scale, and native alerts are unreliable or delayed, leading to missed warnings.

How it works

  1. List all active users through the Admin SDK directory API.
  2. Impersonate each user in turn using a service account with delegated access.
  3. Query Gmail API's 'users.settings.getProfile' to fetch current quota usage and limits.
  4. Aggregate and log usage data, triggering actions or alerts when defined thresholds are crossed.

What changes

Administrators receive early warning of accounts nearing quota, allowing proactive cleanup or communication before disruption.

The trap in this one. Gmail quota figures from the API can lag behind actual usage by several hours; if you trigger actions based on the latest API value, you may miss a sudden surge that pushes a mailbox over quota between polling intervals. Relying on a tight polling schedule will also increase your risk of hitting per-user or per-project API rate limits, so always track and back off on repeated failures to avoid a monitoring blackout.

Can I get real-time quota updates?

No, the Gmail API only provides quota status as last reported to the backend, which can be hours out of date. There is no push or webhook for quota events.

What permissions are required?

You need gmail.readonly for per-user mailbox data and admin.directory.user.readonly to enumerate users. Both must be granted for your service account at the domain level.
