The problem

Manual license management is error-prone and slow, especially during onboarding, offboarding or bulk user changes. Automating this reduces waste and prevents users being blocked or over-licensed.

How it works

  1. Configure a service account with domain-wide delegation for both user and license scopes.
  2. Detect relevant user lifecycle events or changes (e.g. group membership, OU move, HR feed).
  3. Assign or remove Workspace product licenses using the Admin SDK's License API.
  4. Log every entitlement change with user, product and timestamp for audit.

What changes

License state tracks actual user needs with minimal manual intervention and clear audit trails.

The trap in this one. The License API's eventual consistency means that querying a user's current license immediately after assignment can return stale data for several seconds. This leads to false negatives if your automation validates assignment synchronously, causing retries or duplicate actions. Always allow for propagation delay, and never assume a write is instantly visible on a subsequent read.
