The problem

Manual group membership changes do not scale, and mistakes are common. Bulk edits through the Admin Console are slow and error-prone, especially when syncing with external systems or HR feeds.

How it works

  1. Fetch the current group membership using the Admin SDK Directory API.
  2. Calculate the intended membership state by comparing source-of-truth data.
  3. Use batch calls to add and remove users as needed, handling pagination for large groups.
  4. Verify the final group state matches expectations, including any nested or indirect memberships.

What changes

Group access is kept up to date with external systems, and manual errors or missed changes are eliminated.

The trap in this one. The Directory API's group membership changes are not always immediately reflected in all Google services—Calendar and Drive permissions may lag by several minutes. Worse, removing a user who was just added in the same batch can silently succeed but leave the user in the group until a later sync. Always fetch fresh group state after making changes, and do not assume immediate consistency for access controls.

API responses are paginated after 200 members, and batch requests are limited to 1000 operations, so break very large groups into smaller chunks for reliability.

How quickly do changes propagate to all services?

Membership changes typically reflect in the Directory API within seconds, but downstream services like Drive or Calendar can take several minutes to catch up.
