The problem

Manual booking of shared resources leads to double-bookings, missed reservations, and confusion, especially when multiple teams or locations are involved. Automations can handle allocation, but must avoid race conditions and ensure the actual resource is reserved, not just a placeholder event.

How it works

  1. Grant domain-wide delegation to a service account with calendar and resource scopes.
  2. Fetch the list of available resources and their calendars.
  3. When a booking request arrives, check real-time free/busy status for the desired window.
  4. Create the event on the resource's calendar as the service account, including all required metadata.
  5. Send confirmation or failure to the requester, and log the outcome for audit.

What changes

Resource bookings are handled automatically, reducing admin load and preventing most double-bookings and missed allocations.

The trap in this one. The Calendar API's event creation is not atomic: two near-simultaneous booking attempts can both see a slot as free and both succeed in creating events, resulting in an overbooked resource. This is much more likely when running an allocation bot at scale. To avoid this, always re-fetch the resource's free/busy state after inserting an event, and be prepared to immediately resolve conflicts (e.g., by deleting one booking and notifying the user).

Questions people ask

How do I handle recurring bookings?

Set the recurrence rule on the event when creating it. Be aware that resource calendars can reject complex or conflicting recurrences silently, so always confirm the event was created as intended.

Can I book resources across different domains?

Only if the service account is delegated in each domain and resources are shared appropriately. Otherwise, cross-domain bookings will fail or not propagate.
