The problem

When a blackout or hold must apply to many users, relying on invitations or user action leads to missed blocks and double-bookings. Manual coordination does not scale and is prone to error.

How it works

  1. Identify the list of users who require the blocking event.
  2. Use the service account with domain-wide delegation to impersonate each user.
  3. Insert or update the event directly into each user's primary calendar, using a stable event ID.
  4. Track the operation status per user for audit and retries.

What changes

Blocking events reliably appear on every targeted calendar, regardless of user action or RSVP, and can be centrally updated or removed.

The trap in this one. The Calendar API’s batchInsert and batchUpdate endpoints do not guarantee atomicity: if one insert fails due to a transient error (e.g., 403 quota exceeded), it may silently skip that user while succeeding for others. Without explicit per-user status tracking, you will think the block is in place everywhere when it is not. Retrying the whole batch can create duplicate events if you do not supply your own unique eventId.

Questions people ask

Can users delete or move the blocking event?

Yes, unless you set the event as 'private' and lock it down, but there’s no hard prevention. Consider regular reconciliation to restore missing blocks.

What happens if a user’s calendar is suspended or inaccessible?

The insert will fail for that user, and the API typically returns a 404 or 403. You must handle and log these cases for follow-up.
