The problem

Individual contact lists drift and go stale, leading to misdirected calls or emails. Manual updates are error-prone and don't scale across hundreds of users. Centralising contact management requires API automation to keep everyone in sync.

How it works

  1. Maintain the authoritative contact list in a central data store.
  2. Use a delegated service account to impersonate each user in turn.
  3. Push the relevant contact entries into each user's contact list using the Admin SDK.
  4. Log each update and handle errors per user to avoid stopping the run.

What changes

Every user has a current, consistent contact list, reducing confusion and ensuring correct communication details everywhere.

The trap in this one. The Admin SDK's contact update operations are not strongly consistent: changes may take up to several minutes to appear in the user's contact list, and rapid updates can silently overwrite each other if not fetched fresh before each write. This means batch jobs that assume immediate propagation or blindly upsert based on stale reads will cause lost or reverted changes, especially during large-scale updates.

Questions people ask

Can I update all users in parallel for speed?

You can, but you must fetch the latest state for each user just before updating, or you'll risk overwriting concurrent changes.

Will users see these contacts immediately?

Not always—contact list changes can take several minutes to propagate, especially to mobile clients and cached views.
