The problem

Policies change, but tracking who has actually read and accepted them is often a mess of spreadsheets, email chains, or unchecked survey links. Delegated automation offers a way to programmatically track acceptance without relying on user action or unreliable self-reporting.

How it works

  1. Publish the policy as a Google Doc and share it with the relevant users.
  2. Use a delegated service account to monitor the document's access logs via the Drive API.
  3. Require users to 'accept' by adding a comment or ticking a checkbox in the Doc.
  4. Poll for acceptance actions and record them centrally for audit.

What changes

You get a verifiable, up-to-date record of who has accepted each policy version, without chasing staff or merging responses by hand.

The trap in this one. The Drive API's activity log is not real-time and can take several hours to reflect user actions, especially comment additions. Relying on immediate polling will miss recent acceptances and may cause false reminders or compliance escalations. Make sure your process tolerates this lag, or you'll end up with duplicate notifications and confused users.

Questions people ask

Can I force users to open the document?

You can track views and comments, but you cannot guarantee a user actually read the content. The best you can do is require an explicit action, like adding a comment or checking a box.

Will this work if users are on mobile?

Yes, but some mobile apps handle comments and edits differently, which can result in missed acceptance events if you only monitor one type of action.
