Automate company-wide email signature updates
Push new signature templates to every user mailbox using domain-wide delegation, ensuring compliance and branding across the organisation.
| Who it is for | IT admins and support teams responsible for branding and compliance. |
|---|---|
| APIs | Gmail API, Admin SDK |
| Typical scopes | gmail.settings.basic, admin.directory.user.readonly |
The problem
Manual updates to signatures are error-prone and impossible to enforce at scale. Relying on users to update their own settings leads to inconsistent branding and out-of-date information.
How it works
- List all active users via the Admin SDK.
- For each user, impersonate using domain-wide delegation.
- Use the Gmail API to set the signature template, merging in user-specific fields.
- Log each update and flag any accounts that fail to update.
- Optionally, notify users of the change for transparency.
What changes
Signatures are updated across the organisation within minutes, with a single template and consistent user details.
Questions people ask
Can this process update signatures for users who are currently signed in?
Yes, but users may see the old signature for several minutes due to API and UI caching, especially in web clients.
How should user-specific fields be handled?
Pull user attributes from the directory and interpolate them into the template before writing. Validate for missing fields to avoid partial signatures.
Want this built?
This is a pattern we run in production. We will set up the delegation and build this on top of it — $500 per hour, most of it working the same day.
