Set out-of-office for every user in the domain
Automate out-of-office settings for users across the organisation, keeping calendars and Gmail responses consistent during absences.
| Who it is for | IT admins automating absence management for entire domains or large teams. |
|---|---|
| APIs | Gmail API, Calendar API |
| Typical scopes | gmail.settings.basic, calendar |
The problem
Manual management of out-of-office is error-prone at scale: missed updates mean messages go unanswered or meetings are scheduled with absent staff. Delegated automation lets you enforce absence policies or bulk-update for events like holidays.
How it works
- Use a service account with domain-wide delegation for both Gmail and Calendar APIs.
- Enumerate affected users via Admin SDK or directory export.
- Impersonate each user to set their Gmail vacation responder and Calendar out-of-office event.
- Log changes and surface any errors per user.
What changes
Absences are reliably reflected in both email and calendar for all users, reducing missed communications and double-bookings.

Questions people ask
Can I target only a subset of users for a regional holiday?
Yes, filter your user list by organisational unit or group membership before applying changes.
Will users see a notification when their settings are changed?
No explicit alert is issued when the vacation responder or calendar event is set by API, so users may not notice until they check manually.
Want this built?
This is a pattern we run in production. We will set up the delegation and build this on top of it — $500 per hour, most of it working the same day.
