Roll out and maintain Gmail signatures across the company
Enforce consistent Gmail signatures for all users by applying updates through domain-wide delegation, avoiding manual setup and drift.
| Who it is for | IT administrators responsible for branding and compliance. |
|---|---|
| APIs | Gmail API, Admin SDK |
| Typical scopes | gmail.settings.basic, admin.directory.user.readonly |
The problem
Signatures are set up manually and users often ignore instructions, leading to inconsistent branding and missing legal text. Manual audits are slow and incomplete.
How it works
- List all active users with the Admin SDK.
- Fetch each user’s current signature using the Gmail API.
- Apply the standardised signature template via the Gmail API, impersonating each user.
- Repeat on a schedule or when branding changes.
What changes
All users have compliant, up-to-date signatures with zero manual effort, and changes can be pushed instantly when required.
Questions people ask
Can users override the signature after rollout?
Yes, unless you re-apply regularly, users can edit their own signature. Schedule periodic enforcement to maintain consistency.
Does this update signatures on mobile clients?
It updates the web and official Gmail app signatures, but not third-party mail clients. Test client-specific behaviour before rollout.
Want this built?
This is a pattern we run in production. We will set up the delegation and build this on top of it — $500 per hour, most of it working the same day.
