The problem

Manual signature updates are ignored or inconsistent, especially after staff changes or template updates. Relying on user action leaves signatures outdated or missing, undermining legal disclaimers and branding.

How it works

  1. Fetch the current user list from the Admin SDK.
  2. Generate signature blocks with user-specific details from a template.
  3. Authenticate as each user with domain-wide delegation and update their signature using the Gmail API.
  4. Log successes and failures for auditing and retry purposes.

What changes

All users receive the correct, up-to-date signature without relying on them to act. Updates can be rolled out centrally and repeatedly as templates change.

The trap in this one. The Gmail API’s signature update is not instantly reflected in the Gmail UI—users may see their old signature cached until they reload or reopen compose. Bulk updates can also hit per-user rate limits silently: the API will return 429s for some users, but not all, leaving partial rollout without clear error aggregation. Scripts must handle retries and confirm actual signature content, not just successful requests.

Does this overwrite custom signatures users set themselves?

Yes, the update replaces whatever the user has configured. If users are allowed to customise, you must reconcile or preserve their changes before pushing updates.

How often can signatures be updated?

There are per-user rate limits on signature updates via the Gmail API. Frequent updates (especially in bulk) risk 429 responses and should be spaced with backoff.
