The problem

Manually coordinating events on shared calendars is error-prone, and calendar access is often bottlenecked by individual permissions or inconsistent delegation. Automated event creation needs to be reliable and visible to all calendar subscribers.

How it works

  1. Create a service account and delegate domain-wide authority over calendar resources.
  2. Identify the shared calendar's resource ID, not just its email address.
  3. Use the Calendar API to insert, update, or delete events directly on the departmental calendar.
  4. Log each event's ID and metadata for reconciliation and audit.

What changes

Events appear on the shared departmental calendar for all users, managed centrally and without manual scheduling or permission wrangling.

The trap in this one. Calendar API event insertions on secondary calendars (such as departmental ones) are not instantly propagated to all subscribers—especially in large tenants. After an insert or update, there can be a delay (often several minutes) before changes are visible in the web UI or synchronised to clients. This can lead to duplicate event creation if your automation retries too aggressively, as the event may not appear via API queries immediately after an insert, causing non-idempotent scripts to inject the same event multiple times.

How do I target the right calendar?

Use the calendar's resource or calendar ID, which may differ from the department's group email address. You can list calendars via the Calendar API.

Can I update or delete events reliably?

Yes, but always track the event ID returned on creation. Querying for new events immediately after insertion may not reflect the latest state due to propagation delays.
