The problem
Rolling out company-wide events or mandatory training sessions requires reliably inserting events for thousands of users, and manual invites get missed or declined. Bulk insertion through the UI is unmanageable and lacks auditability.
How it works
- Enumerate target users using the Admin SDK.
- Impersonate each user with the delegated service account.
- Insert or update events directly into each primary calendar using the Calendar API.
- Record event IDs for tracking and potential updates.
What changes
All targeted users receive the event directly in their calendars, with central tracking and no user action required.
Questions people ask
Will users receive notifications about these events?
Only if 'sendUpdates' is set during insertion. By default, direct injection does not notify users, so test notification settings before rollout.
Can I update or remove injected events later?
Yes, but you must track the event IDs or iCal UIDs used. Without reliable tracking, you risk orphaned or duplicate events.
