Provision calendar events based on group membership
Create or update events for all members of a Google Group by impersonating users with a service account.
| Who it is for | IT and automation engineers managing events for rotating teams or departments. |
|---|---|
| APIs | Calendar API, Admin SDK |
| Typical scopes | calendar, admin.directory.group.readonly |
The problem
Manually inviting or updating calendar events for dynamic groups is error-prone and does not scale. Automating this via a service account provides consistency, but group membership changes constantly and invites must reflect the latest state.
How it works
- Fetch the current group membership using the Admin SDK.
- For each member, use the service account to impersonate and insert or update the event via the Calendar API.
- Track event IDs and sync status for each user to handle retries and updates.
- Reconcile group changes on a schedule to add or remove attendees as needed.
What changes
Event invites accurately mirror group membership, with updates and removals handled without manual intervention.
Questions people ask
Can I invite the group address instead of individual members?
You can, but Google Calendar expands the group at invite time only—later membership changes are not reflected. Individual provisioning is the only way to keep events in sync with group changes.
Do I need user consent to impersonate each member?
Not with domain-wide delegation properly configured. The service account can impersonate users within the domain as permitted by your security policies.
Want this built?
This is a pattern we run in production. We will set up the delegation and build this on top of it — $500 per hour, most of it working the same day.
