The problem

Storage quotas are enforced at the tenant or pooled level, but overages are often driven by a handful of users clustered in specific organisational units. Without granular reporting, it’s impossible to target clean-up efforts or chargebacks.

How it works

  1. List all users in each organisational unit using the Admin SDK.
  2. Query storage usage for each user from the Reports API.
  3. Sum usage data by organisational unit and generate a report.
  4. Optionally, correlate heavy usage to shared drives if needed.

What changes

You get a per-OU breakdown of storage consumption, allowing targeted follow-up and policy enforcement instead of blanket quotas.

The trap in this one. The Reports API can lag by up to 24 hours, so recent deletions or uploads are not reflected immediately. Additionally, users recently moved between OUs may be attributed incorrectly until directory changes propagate fully; always snapshot the OU membership before querying usage.

Questions people ask

Does this include shared drives?

User usage includes files owned by the user, not files solely in shared drives. To report on shared drives, you must use the Drive API to enumerate drives and their organisers.

How often should I run the report?

Once daily is typical, as the underlying usage data does not update in real-time. More frequent runs will hit the same data and burn quota.
