Automate meeting room resource allocation across calendars
Reserve and manage meeting rooms at scale by directly creating and updating resource bookings via domain-wide delegation.
| Who it is for | IT admins and office managers responsible for managing shared meeting spaces in large or multi-site organisations. |
|---|---|
| APIs | Calendar API, Admin SDK |
| Typical scopes | calendar, admin.directory.resource.calendar |
The problem
Manual room booking is inconsistent and leads to double-bookings, underutilisation, and disputes. Delegated automation promises consistent enforcement of policy, but the complexity of resource calendars and conflicting holds makes this brittle at scale.
How it works
- Enumerate room resources using the Admin SDK.
- For each requested event, create or update a Calendar booking with the room as an attendee.
- Monitor the booking status for each room to confirm acceptance.
- Clean up or reassign failed reservations based on status feedback.
What changes
Room allocations are handled centrally, with up-to-date visibility and fewer conflicts or abandoned holds.
Questions people ask
Can I allocate rooms for users in different organisational units?
Yes, provided the service account has domain-wide delegation and the resource calendars are visible to it. Resource calendars are not restricted by user OU.
How do I know if a room booking succeeded?
You must check the event's attendee list for the room's 'responseStatus'. Only 'accepted' means the room is actually reserved; 'declined' means it is not.
Want this built?
This is a pattern we run in production. We will set up the delegation and build this on top of it — $500 per hour, most of it working the same day.
