The problem

Manual onboarding emails and resource sharing are slow, inconsistent, and error-prone. New users may wait hours or days for access to essential links, documents, and instructions, leading to lost productivity and support tickets.

How it works

  1. Monitor for new user creation events using the Admin SDK Directory API.
  2. Trigger a workflow that sends a templated welcome email via the Gmail API on behalf of the service account.
  3. Share onboarding resources—such as handbooks or shared Drives—using the Drive API.
  4. Log each onboarding action to ensure traceability and support troubleshooting.

What changes

Every new user receives a consistent onboarding kit, delivered within minutes of account creation, reducing manual effort and onboarding errors.

The trap in this one. Newly created users can take several minutes to propagate across all Google services; sending email or sharing Drive files immediately after user creation often results in silent failures or missing recipients. A retry loop with exponential backoff is necessary, and even then, the Directory API may report a user as 'active' before Gmail or Drive recognises the account.

Questions people ask

Can I send the welcome email instantly after creating the user?

Not reliably. There's a propagation delay before Gmail and Drive APIs recognise the new account, so immediate sends may silently fail. Always build in retries.

Is it possible to share resources with a group instead?

Yes, but group membership can also lag behind user creation by several minutes. Direct sharing to the user is safer if prompt delivery is critical.
