Create calendar events for every user in the organisation

The problem

Manual invites are missed, and group-based invites do not reliably reach all users (especially new starters or group misconfigurations). Creating events directly in each user’s calendar ensures coverage but is operationally complex at scale.

How it works

  1. List all active users via the Admin SDK.
  2. Impersonate each user to insert the event directly with the Calendar API.
  3. Log the status and event ID for each insertion attempt.
  4. Retry failed inserts with backoff, and report any persistent failures.

What changes

Every user receives the event regardless of group membership, with a complete log of which calendars were updated and any failures.

The trap in this one. The Calendar API’s insert endpoint will silently succeed for suspended or resource accounts, creating events that nobody can see or act on. Filtering only on 'active' from the directory is insufficient—cross-check the user’s calendar list and watch for HTTP 404/410 responses, which indicate the calendar is inaccessible, despite a successful directory lookup.

Questions people ask

Can this be done using group invites instead?

Group invites are easier but less reliable. Group membership can lag, and some users may have delivery restrictions or forwarding rules that prevent the invite from appearing.

How do you clean up events if there’s a change?

You must track event IDs per user; without this, deleting or updating the event across all calendars is error-prone and often incomplete.
