Manage contact groups across all users in a domain

Automate creation and updates to user contact groups throughout the organisation using a delegated service account.

The problem

Contact groups drift as people join, leave, or change teams. Manual updates get missed, and there's no native bulk update for all users' contacts.

How it works

  1. Use a service account with domain-wide delegation and the correct Admin SDK scopes.
  2. Iterate over each user account to manage their contact groups individually.
  3. Add, remove, or update group members as required per policy.
  4. Log all changes to allow for troubleshooting and audit.

What changes

Contact groups are kept in sync with changing team structures and membership, reducing manual errors and gaps in communication.

The trap in this one. The Admin SDK's Contacts API does not support batch operations for user contacts, so rate limits are hit hard on large domains. When updating hundreds of users, Google silently drops requests after quota is exceeded, but returns HTTP 200 for successful queueing—leaving some groups partially updated without error. Always implement explicit backoff and check the actual state after changes, not just API responses.

Questions people ask

Can this update Google Groups or just personal contact lists?

This pattern manages user contact lists, not Google Groups. Google Groups are managed via a different API and have different propagation and permission models.

How do I avoid hitting rate limits?

Throttle requests and spread updates over time. There’s no batch endpoint, so concurrency must be low; check quotas in the Admin console and adapt accordingly.
