Sync out-of-office status across the whole organisation
Centrally read and update OOO statuses for users to reflect accurate availability in calendars and chat.
| Who it is for | IT and automation admins managing staff availability signals. |
|---|---|
| APIs | Calendar API, Admin SDK |
| Typical scopes | calendar, admin.directory.user.readonly |
The problem
People miss meetings or get pings when they're away because OOO signals in Calendar, Chat, and Directory get out of sync. Manual updates are missed, especially for long-term absences or sudden leave.
How it works
- Read current OOO events for each user from their primary calendar using the delegated service account.
- Write or update OOO events as needed to enforce a consistent status.
- Optionally update Directory attributes or Chat custom status to match.
- Reconcile any manual changes on a scheduled basis to prevent drift.
What changes
Colleagues see accurate absence signals everywhere, reducing missed handoffs and unnecessary message noise.
Questions people ask
Can we force immediate update of Chat or Directory status?
No. Both rely on back-end propagation from Calendar events; there is no supported API for instant status push.
What happens if a user manually edits their OOO during sync?
The automation can clobber user changes if it operates on a schedule. Always fetch latest state before writing.
Want this built?
This is a pattern we run in production. We will set up the delegation and build this on top of it — $500 per hour, most of it working the same day.
