Enforce Drive quota policy with scheduled sweeps
Automate periodic checks and clean-ups of Drive storage usage across a domain using a delegated service account.
| Who it is for | IT admins responsible for storage compliance and cost control across large Google Workspace estates. |
|---|---|
| APIs | Drive API, Admin SDK |
| Typical scopes | drive, admin.directory.user.readonly |
The problem
Drive storage quotas are routinely exceeded by users who ignore warnings, leading to overage fees or blocked uploads. Manual enforcement is infeasible at scale and often misses shared or orphaned files.
How it works
- On a schedule, enumerate all users via the Admin SDK.
- For each user, impersonate and list their Drive files and usage.
- Identify those over quota and apply policy actions (notify, move, delete, etc).
- Log actions taken and update an audit record for compliance.
- Report summary statistics to admins or stakeholders.
What changes
Drive storage limits are enforced consistently and automatically, with auditable action history and reduced risk of surprise overages.
Questions people ask
Can I enforce quotas on shared drives as well?
Yes, but shared drives require separate enumeration and their file ownership rules differ. Handle users and shared drives distinctly in your logic.
How often should sweeps run?
Daily or weekly is typical. More frequent runs risk acting on stale data due to Drive API consistency delays.
Want this built?
This is a pattern we run in production. We will set up the delegation and build this on top of it — $500 per hour, most of it working the same day.
