Send quota usage alerts to Workspace admins

Notify administrators before API consumption breaches limits by monitoring and alerting from a delegated service account.

The problem

API quota overruns cause outages or delayed automation, but native quota alerting is limited and rarely granular enough. Service accounts can monitor usage, but most admins do not get timely warnings before jobs are throttled.

How it works

  1. Use a delegated service account to poll the Reports API for quota consumption metrics.
  2. Parse relevant quota fields and thresholds per API and action.
  3. Trigger alert emails or messages to Workspace admins when usage nears critical levels.
  4. Log each alert event with timestamp and quota context for auditability.

What changes

Admins receive actionable warnings before automations fail, allowing them to pause jobs or request quota increases preemptively.

The trap in this one. The Reports API quota metrics are updated on a multi-minute delay and sometimes lag during periods of heavy activity. A rapid spike can breach the limit before the alert even triggers, leaving admins with no real opportunity to intervene. Relying on real-time protection using this pattern gives a false sense of safety.

Questions people ask

Why not just use the Google Cloud Console's built-in quota alerts?

Those alerts are not always granular to the specific delegated API scopes in use, and many admins never see them if they're not project owners.

Can the alerting be made more real-time?

Not reliably, since the Reports API updates at intervals and the quota counters are not live. The only mitigation is to set alert thresholds well below the hard limit.
