Automate recurring task assignment in Google Workspace

The problem

Manual task assignment for routine duties (like weekly reviews or compliance checks) is error-prone and gets skipped when people are away. Automating these with a delegated service account keeps the schedule intact and ensures assignments are logged, but the mechanics are not obvious and missed updates can go unnoticed.

How it works

  1. Define the recurring schedule and task details in a central configuration (e.g. a Sheet or config file).
  2. Trigger the automation (via cron or Cloud Scheduler) to run as the service account at the required interval.
  3. Create or update calendar events or Drive files in the assignees’ accounts, using domain-wide delegation.
  4. Record each assignment with a timestamp and identifier for traceability.
  5. Optionally, send notification emails to assignees.

What changes

Tasks are reliably assigned on time, with a record of each assignment, and no dependency on individual users being available.

The trap in this one. If you use the Calendar API’s recurring event creation, later updates to the recurrence pattern or attendees can silently fail to propagate to existing instances unless you patch the series master and explicitly update all exceptions. Relying on a naive insert each time risks duplicate events or missed updates if the previous run partially succeeded. Always track the event IDs you create, and handle partial failures by reconciling against the actual calendar state before the next run.

Should I use a recurring calendar event or individual events for each task?

Recurring events are efficient, but updating them for changed assignees or patterns is error-prone. Individual events offer more control and easier tracking, at the cost of more API calls.

How do I avoid duplicate events?

Store the event IDs you create in a durable store and check for their existence before creating new ones. If an event is missing, recreate only the missing instance.
