The problem

Manual task assignment is error-prone and easy to neglect, especially for recurring responsibilities. Automating it with a delegated service account avoids missed rotations and ensures transparency, but the details of updating shared documents and notifying assignees introduce subtle failure modes.

How it works

  1. Store the team roster and task schedule in a central Google Sheet.
  2. Have the service account run a scheduled process to calculate new assignments.
  3. Update the relevant sheet cells or Drive files with the new assignees.
  4. Optionally, notify team members via email or Chat.

What changes

Tasks are assigned and rotated reliably, with an auditable record and no need for manual updates.

The trap in this one. The Sheets API batchUpdate endpoint does not guarantee atomicity across multiple cell edits. If the process is interrupted (e.g. by a quota error or network timeout), you can end up with partial updates—some rows changed, others not—leading to confusion or duplicate assignments. Always check the response for partial failures and consider writing a transaction marker cell once all updates succeed.

How do we avoid assigning the same person twice in a row?

Track previous assignments in the sheet and design your rotation logic to exclude the last assignee, even if the script is re-run.

What if someone leaves the team?

Remove them from the roster in the sheet; the next rotation will skip them. Automate a check for suspended accounts to avoid silent assignment to inactive users.
