Enforce storage quotas on shared drives with automation

Automate monitoring and enforcement of shared drive quotas to avoid overages and operational surprises.

The problem

Shared drives regularly exceed quota without warning, leading to blocked uploads or sudden storage bills. Manual checks miss drives, and owners ignore warning emails.

How it works

  1. List all shared drives using the Drive API as a delegated service account.
  2. Fetch usage and quota for each drive and log to a central sheet.
  3. Alert when usage approaches or exceeds threshold, and optionally trigger automated clean-up or owner notifications.
  4. Review the log routinely to confirm enforcement actions and quota trends.

What changes

Quota breaches are detected and acted on before they cause user impact or unexpected costs.

The trap in this one. Drive API's usage reporting can lag up to several hours behind actual file changes, especially for large file deletions or moves. Scripts that trigger clean-up or alerts based on stale usage may act on drives that have already resolved their overages, leading to unnecessary deletions or spurious warnings. Always fetch fresh usage before taking irreversible action.

Questions people ask

Can I block uploads automatically when a quota is reached?

No, Drive enforces this at the API level; automation can only warn or clean up, not preemptively block uploads.

How often should the script run?

Hourly is typical, but adjust based on your users’ upload patterns and the criticality of staying under quota.

Want this built?

This is a pattern we run in production. We will set up the delegation and build this on top of it — $500 per hour, most of it working the same day.
