The problem

Manual updates to resource calendars are slow and error-prone, especially at scale. Delegated automation allows consistent naming, booking policies, and audit trails, but requires careful handling of propagation and API quirks.

How it works

  1. Use domain-wide delegation to impersonate an admin and call the Admin SDK to create or update a resource.
  2. Sync resource details (name, type, capacity) to the Calendar API for visibility and booking.
  3. Apply booking restrictions or delegates via the Calendar API.
  4. Log changes and periodically audit resource settings for drift.

What changes

Shared resources are reliably managed, discoverable, and consistent, with changes tracked and enforced centrally.

The trap in this one. After creating or updating a resource with the Admin SDK, changes can take several minutes to propagate to the Calendar API. Attempts to update calendar-specific settings (like delegates or sharing) immediately after creation will silently fail or return 404—not found—until propagation completes. Always poll for resource readiness via the Calendar API before applying further changes.

Do deleted resources disappear instantly?

No—removal from the Admin SDK doesn't guarantee immediate disappearance from users' calendar lists or booking interfaces. Expect several minutes of lag.
