The problem
Many organisations require everyone to use the latest company templates, but distributing and updating them consistently is tedious. Relying on users to copy from a central folder leads to drift and outdated versions.
How it works
- Store the master templates in a locked-down central Drive location.
- Enumerate the target users (by group or OU) via the Admin SDK or directory export.
- For each user, impersonate them and copy the templates into a designated folder in their My Drive.
- Optionally, set metadata or colour to flag these as official copies.
What changes
Every targeted user receives the current template set in their Drive, with no manual copying or permissions wrangling.
Questions people ask
Can I update templates already provisioned to users?
Not directly; users' copies are independent. To update, you must re-copy the new version and optionally archive or delete the old ones.
How do I prevent users editing the distributed templates?
You can't prevent edits to a file in a user's My Drive. Distribute view-only links for reference, or automate periodic re-provisioning.
