Standardise user profile fields with automation
Correct names, titles and departments in Directory at scale using a delegated service account, so downstream systems see consistent data.
| Who it is for | Directory administrators and IT operations teams maintaining user records for compliance or integration. |

| APIs | Admin SDK |
| Typical scopes | admin.directory.user |
The problem
Free-text entry in user profile fields leads to inconsistent job titles, departments and locations, breaking group policies and external integrations. Manual correction is slow and error-prone, and bulk edits via CSV are rarely repeated often enough to keep up.
How it works
- Extract current user profiles from the Directory using a delegated service account.
- Apply a standardisation mapping to titles, departments and other fields.
- Write the corrected values back to each user profile.
- Log changes for audit and re-run periodically to catch drift.
What changes
User profile fields are normalised automatically, supporting reliable access policies and integration with HR or downstream tools.
Questions people ask
Can this handle non-Latin characters or custom fields?
Yes for non-Latin characters in standard fields, but custom schema fields require additional API calls and mapping logic.
How often should re-standardisation run?
Daily or weekly is typical. More frequent runs risk conflicting with ongoing manual updates or HR syncs.
Want this built?
This is a pattern we run in production. We will set up the delegation and build this on top of it — $500 per hour, most of it working the same day.
