The problem
Coordinating out-of-office replies for hundreds or thousands of users is slow and error-prone when handled manually. HR-driven requirements for standardised messaging during holidays or disruptions require a central, automated method.
How it works
- Collect the list of target users and determine the desired out-of-office message and date range.
- Iterate through each user, impersonate them via the delegated service account, and call the Gmail API to set their vacation responder.
- Log each update attempt and capture any API errors for follow-up.
- Optionally, confirm the responder is active by fetching the settings after each update.
- Revert or update the responder as needed at the end of the relevant period.

All targeted users have a consistent out-of-office message applied quickly, with central logs for verification and auditing.

Can I set different messages for different teams?
Yes, but you must group users accordingly and apply the correct message per group in your automation loop.
Is there a way to see which users already have a responder set?
You can fetch each user's vacation settings with the Gmail API, but there is no bulk endpoint; each must be queried individually.
