Distribute company announcements and track read status
Send organisation-wide announcements via Gmail API and capture read receipts per recipient, without relying on unreliable user-managed read confirmations.
| Who it is for | Internal communications or IT automating distribution of mandatory announcements. |

| APIs | Gmail API |
| Typical scopes | gmail.send, gmail.readonly |
The problem
Critical updates need confirmation that every user received and read them, but manual read receipts are ignored or misreported. Traditional mail-merge tools lack audit trails and cannot verify actual message opens.
How it works
- Generate and send individualised announcement emails to all users using the delegated service account.
- Embed a unique tracking pixel or link per recipient to capture actual opens.
- Monitor the recipient mailboxes for incoming read receipts or pixel loads using Gmail API.
- Aggregate read status for compliance reporting.
What changes
You get a per-user log of who has received and opened the announcement, with timestamps, without relying on users to manually confirm.
Questions people ask
Can I force Gmail to send or acknowledge read receipts?
No. Gmail does not guarantee read receipts, and most clients suppress or ignore them automatically. The best you can do is track opens via embedded images or links, but this is not foolproof.
Can I resend only to people who haven't read it?
You can, but expect some false positives due to tracking limitations. Always provide a manual override for disputed cases.

Draft replies automatically in a shared inbox
A delegated service account reads an incoming enquiry, drafts a researched reply in the mailbox, and leaves it for a human to approve and send.
Triage and route inbound mail across a domain
Classify every inbound message, label it, and forward the ones that matter to the person who owns them — without touching a single mail rule.
Send mail as a shared alias from automation
Deliver notifications, confirmations and campaign replies from a branded address like support@ or updates@ without a human in the loop.
