The problem
Manual monitoring is infeasible at scale, and missing a sensitive keyword can have regulatory or reputational consequences. Automated scanning is essential, but must not disrupt user experience or privacy controls.
How it works
- Register a service account and grant domain-wide delegation for read-only Gmail access.
- Iterate over all active users and impersonate each to search their mailbox for the target keywords.
- Log matches with message IDs and user context for audit and review.
- Throttle requests to stay within per-user and global Gmail API quotas.
- Rotate through users incrementally to avoid triggering suspicious activity alerts.
What changes
All mailboxes are scanned for flagged content, with results centrally logged for compliance review. No user intervention is required.
Questions people ask
How often should we scan to avoid missing messages?
Include a short trailing window (e.g. rescan the last hour) each run to catch messages that were delayed in the search index. The exact lag varies with mailbox size and Google-side load.
Does this approach trigger user alerts or visibility?
Not directly, but heavy or rapid scanning can cause Google to flag the service account for abnormal activity, so throttle and monitor your usage.
