Apply and manage Gmail labels across all mailboxes
Systematically apply or update Gmail labels on user mailboxes using a delegated service account, ensuring consistent classification at scale.

The problem
Manual label management does not scale, especially for compliance or workflow needs that evolve over time. Applying or updating labels centrally requires automation, but direct user intervention is unmanageable beyond a handful of mailboxes.
How it works
- Enumerate target users from the directory.
- Impersonate each user via domain-wide delegation.
- Check if the target label exists in each mailbox; create it if missing.
- Apply or update the label on matching threads or messages using batchModify where possible.
What changes
Labels are consistently present and applied, enabling search, retention, or workflow rules that depend on them, without user action.

Questions people ask
Can I apply labels to messages older than 30 days?
Yes, but you must find and address the messages explicitly; label operations work on any message you can locate, regardless of age.
How do I remove a label later?
Use the same impersonation pattern with batchModify to remove the label by ID from targeted messages.
Want this built?
This is a pattern we run in production. We will set up the delegation and build this on top of it — $500 per hour, most of it working the same day.

Draft replies automatically in a shared inbox
A delegated service account reads an incoming enquiry, drafts a researched reply in the mailbox, and leaves it for a human to approve and send.
Triage and route inbound mail across a domain
Classify every inbound message, label it, and forward the ones that matter to the person who owns them — without touching a single mail rule.
Send mail as a shared alias from automation
Deliver notifications, confirmations and campaign replies from a branded address like support@ or updates@ without a human in the loop.
