The problem
Welcome emails are often forgotten or sent inconsistently when handled manually, and scheduling from a personal account is unreliable. Using a delegated service account ensures consistency, but introduces edge cases in delivery and visibility.
How it works
- Detect new user creation from the authoritative source (e.g. HRIS or Directory).
- Queue a welcome email with a scheduled send time, using the Gmail API and service account delegation.
- Send on behalf of the service account, so all messages are consistent and auditable.
- Log delivery status and alert if the send fails or is delayed.

Every new user receives a standardised welcome email at the right time, with no manual intervention or missed messages.

Can we customise the email per user?
Yes, the body can be templated and filled with user-specific details at scheduling time. Just be mindful of encoding issues with personalisation.
Does the user see who sent the email?
The message appears from the service account or its alias, not from HR or IT directly. If a personal touch is needed, set an appropriate display name.
