The problem

Manual updates to org charts quickly drift out of sync with reality, especially with frequent joiners, leavers and team moves. Pulling data directly from the directory ensures accuracy, but only if the sync is reliable and complete.

How it works

  1. Set up a delegated service account with read access to the Directory API and edit access to the target spreadsheet.
  2. Fetch all active user records, including manager and department fields, from the directory.
  3. Update or rebuild the org chart in Sheets by matching users to their managers.
  4. Automate this process to run on a schedule, e.g. daily.

What changes

The org chart in Sheets always reflects the current state of the directory, reducing manual effort and mistakes.

The trap in this one. The Directory API paginates results, and a sync that mishandles page tokens will silently drop users beyond the first page—no error, just missing staff. Always process every page and verify the expected user count after each run.

Questions people ask

Can we sync custom fields or extra attributes?

Yes, but you must explicitly request and map each field. Unrecognised attributes won't be included in the response by default.

What about suspended or deleted users?

By default, only active users are returned. If you need to track departures, query with the appropriate parameters or maintain a separate leavers list.
