The problem

Automations frequently target users by org unit or group membership, but org structure changes—merges, splits, renames—are often missed by static configurations or cached data, leading to misapplied actions or missed users.

How it works

  1. Schedule regular polling of org units and groups via Admin SDK Directory API.
  2. Write a diff routine to detect new, removed, or renamed org units and group memberships.
  3. Drive downstream updates to automation configs or sheets based on detected changes.
  4. Log all changes and alert on mismatches or unknown structures.

What changes

Automations update in response to actual Workspace structure, reducing manual oversight and the risk of stale targeting.

The trap in this one. Renaming an org unit or group via the Admin SDK does not trigger any notification or webhook; cached names in automations silently drift out of sync until the next poll. Worse, if you rely on orgUnitPath, the API will return a 404 for the old path without explanation—so automations may skip entire user sets or throw misleading errors until the mapping is refreshed.

How often should we poll for changes?

Hourly polling is typical in production, but adjust based on the risk profile of your automations. There is no real-time push notification for org structure changes.

What about historical data keyed by org unit name?

Always key by immutable orgUnitId or group id, not display name, to avoid losing history after a rename.
