Automate out of office replies for all users
Set, update, and clear out of office auto-replies across users, using a service account to enforce policy or respond to requests at scale.

The problem
Users often forget to set out of office replies, leading to missed messages and confusion. Manual reminders are unreliable, and HR-driven updates need to be timely and consistent for compliance or customer communication.
How it works
- Enumerate the affected users, e.g. based on scheduled leave.
- Impersonate each user using a service account with domain-wide delegation.
- Call users.settings.updateVacation via the Gmail API to set or clear the auto-reply.
- Optionally, log previous settings to allow for restoration on early returns or errors.
What changes
Absence messages go out automatically and consistently, matching HR records or policy, without relying on individual user action.
Questions people ask
Can this change settings for users who have already set their own out of office?
Yes, the API will overwrite the existing vacation responder. Consider backing up the previous message if you need to restore it later.
How quickly do changes take effect for incoming mail?
In practice, the new auto-reply may take up to several minutes to start responding to senders, especially in large domains.
Want this built?
This is a pattern we run in production. We will set up the delegation and build this on top of it — $500 per hour, most of it working the same day.

Draft replies automatically in a shared inbox
A delegated service account reads an incoming enquiry, drafts a researched reply in the mailbox, and leaves it for a human to approve and send.
Triage and route inbound mail across a domain
Classify every inbound message, label it, and forward the ones that matter to the person who owns them — without touching a single mail rule.
Send mail as a shared alias from automation
Deliver notifications, confirmations and campaign replies from a branded address like support@ or updates@ without a human in the loop.
